Terms for institutions
Version of 22 Oct 2026
These terms apply to the institutions that book host families for their students. The general terms apply too, for whatever these do not change.
1. Purpose
The institution books stays with the families of the catalogue for its students, at the price everyone pays. We Made Room is not a party to the stay, which is agreed between the student and the family.
2. The institution's users
Each user signs in with a link sent to their own address. The institution answers for what its users do in its space, and tells We Made Room when one of them leaves.
3. Students
The institution gives each student's name, email and date of birth: the student must be 18 or over on the day of arrival.
The institution chooses the family among those that accepted, within 48 hours of each acceptance. The student signs the template contract through their personal link.
4. Payment
The institution pays from its space, by card, in periods of 28 nights, the first charged 60 days before the arrival, the next ones 30 days before they start. If a period is not paid when it starts, the stay ends at the end of the last period paid.
5. Emergencies
The institution keeps the handling of emergencies for its students. It gives a phone number that answers at any hour, shown to the family once the stay is confirmed. We Made Room does not handle emergencies and does not guarantee another home if a stay stops.
6. Cancellation, early departure, staying longer
The rules of the general terms apply: cancelling more than 60 days before the arrival costs nothing, and an early departure has 7 nights' notice.
An institution that pays for a stay asks the family to keep its student longer from the student's page; the new nights are charged on its card like the others. Another stay with the same family, for this student or another, is a new request.
7. Personal data
The institution gives its students' data for their stays only, and tells its students about it. We Made Room uses this data as set out in the privacy policy.
8. Closing the space
We Made Room may close the institution's space when none of its students has a request or a stay under way, for a breach of these terms. Its users can then no longer sign in.
9. Law and disputes
These terms are governed by French law. Any dispute goes to the courts of Montpellier.
